Per EU Good Distribution Practice guidelines as of 2025, you need to justify your thermal monitoring approach. Continuous data loggers are not explicitly mandatory, but they make the justification much easier.
Also, consider carrier-specific requirements. If you use express shipping for international cold chain parcels, the courier may ask you to follow UPS cold chain packaging guidelines. In our experience, those guidelines are lighter on 'we trust you' and heavier on 'show us the thermal profile.' A data logger can provide proof that the packaging stayed in range for the entire route. I'm not saying a courier will always require it, but the proof is worth more when a claim is filed.
I get why some teams resist: data loggers require software, and the cheap ones are awkward. But the audit trail alone justified the switch. Operational Friction: Honest Comparison of Pain Points

If I had to pick the lower-friction option for reliable monitoring, it's the data logger. But only if you build a pre-shipment checklist that includes every device.

This is the dimension I almost forgot until it bit me. You can have the best monitoring method in the world, but if the actual cold chain equipment is failing, the data logger is just a witness. In our operation, that lesson came from three pieces of equipment: an ice maker, a compressed air dryer, and the condenser coils on our cold storage unit.

What Should You Choose?
If you ship less than once a week, in stable ambient conditions, and you have exactly one person responsible for the cold chain, a good manual log can work. Just don't call it foolproof.
If you ship regularly, if you have multiple people involved, if your customers ask for evidence, or if you simply want to sleep at night—use a data logger for cold chain shipments. The cost is small compared to the cost of a rejected batch, and the proof you get is a brand asset. When a customer sees a clean 24-hour temperature curve, they perceive you as professional. That perception is not trivial. Since we standardized on data loggers, our client feedback score rose from 4.1 to 4.7 out of 5 over 12 months. Correlation, not causation—but still.
Start with the dimension that matters most to your operation: accuracy, cost, compliance, friction, or maintenance. Fix that first. I used to think monitoring was a 'nice to have.' After 2022, I think it's the difference between a claim and a story—and auditors trust numbers, not stories.
If it's not logged, it didn't happen. And if it isn't verified, it's just an opinion.
